As a busy service provider or consultant, you’re likely in one of two camps when it comes to client testimonials:
You already know that there’s no replacement for social proof when marketing your service to your audience.
You work hard for your clients and in order to make the most of the kind words your clients are no-doubt bursting to spill to anyone who will listen, it’s important to create a simple testimonial system for your business.
Read on to find out how to create a streamlined system for requesting and organizing client feedback so that you can finally start leveraging your client testimonials.
CRM (Customer Relationship Management) – A good CRM will allow you to automatically send testimonial requests as part of your client offboarding process.
I love Dubsado for all of my automated client workflows as well as sending out forms and questionnaires.
Project Management Tool – This will act as a central location for workflow or checklists, ensuring that all steps to the client testimonial request process are completed.
Clickup is my go-to project management tool. It has so much versatility and is super robust but can also be used to build out simple checklists as well.
Database / Spreadsheet Tool – You will need a central location to record client submissions and I’ve found that a spreadsheet is the best option for creating a central testimonial database.
File Storage – You will want to store client headshots and/or video testimonials within a centrally located folder for quick and easy access.
I use Google Drive for the creation of spreadsheets and folders for keeping everything organized.
You don’t need a million tools or fancy workflows to get your client testimonial process set up. The three basic business tools that I use for creating a testimonial collection & database process in my clients’ businesses are Dubsado, Google Drive, and Clickup.
I love using Dubsado questionnaires for requesting client testimonials during the offboarding process via their automated workflows but you can use whichever questionnaire tool works best for you.
When I design a client questionnaire, I always write it out my questions on paper or record them within a Google doc first. This acts as a backup and also saves me setup time, as I typically delegate the form buildout to my amazing virtual assistant.
Tip: When designing your questionnaire, be sure to think through where and how you would like to leverage client feedback. If you plan to post on social media or on your website, consider having your client provide a professional headshot. Ask for feedback in both written and video format to present on different platforms.
Most importantly, make it known (and get the client’s approval) that you will likely be putting their words out there into the world when promoting your services.
1 – First, create a Google folder called Client Testimonials or Client Feedback.
2 – Within the new folder, open a new Google Sheets file. This will be your new Client Testimonials tracker.
3 – Update the file name and add headers for pertinent client & testimonial info.

TIP: If you have multiple programs or services, you can create multiple tabs within your spreadsheet to organize by program.
4 – Back within your main testimonials folder, add a folder for each of your programs or services where client headshots and testimonials will be saved.
Depending on your preferences, you can add the client feedback request as part of your overall client offboarding workflow or you can create a checklist for feedback gathering only.
I like to create a separate checklist for testimonial gathering, as following up is important and I like to follow up 2-3 times when requesting client feedback.
No more letting that social proof gold go to waste! You now have a client feedback questionnaire to send out to each client, a centralized location to organize client testimonials, and a checklist to make sure each piece of the workflow is completed.
Now when you want to update testimonials on your website or add some social proof to your Instagram feed, you’ll be able to locate each glowing testimonial with ease!
